In regulated life sciences work, a hiring mistake shows up in more than missed deadlines. It can show up in an inspection finding, a deviation backlog or a validation package that has to be redone. These five checks help hiring managers confirm that a candidate's experience matches the role before an offer goes out.
1. Match the regulated context, not just the job title
Titles vary widely between companies. A "quality engineer" in a device manufacturer and a "quality specialist" in a pharmaceutical plant may do very different work. Ask candidates which regulations and standards governed their daily work, such as GMP, GCP, GLP, ISO 13485 or 21 CFR Part 11, and what part of the product lifecycle they supported.
2. Ask for evidence of ownership
Many professionals have contributed to deliverables. Fewer have owned them. Ask who wrote, reviewed and approved the documents the candidate describes, and what they personally decided. Ownership of a CAPA, a protocol, a submission section or an audit response is a strong signal.
3. Test how they handle things going wrong
Ask for a real deviation, failed test, audit observation or agency question and how it was resolved. Good answers are specific about investigation, documentation, root cause and follow-up. Vague answers often point to limited hands-on experience.
4. Check system and tool familiarity
Regulated work runs on systems: eQMS platforms, LIMS, document management, clinical data systems and validation tools. Familiarity shortens onboarding. Ask which systems the candidate has used and in what role, for example administrator, author, reviewer or approver.
5. Confirm references with the right people
Speak with someone who reviewed the candidate's work, such as a quality lead, a validation manager or a regulatory head, not only a peer. Ask what the person was trusted to do independently.
Make the process work for candidates too
Experienced GxP professionals usually have choices. A clear role description, a prompt interview schedule and honest information about the systems and the current compliance state help you secure the people you want.
